Asana: tasks in your Asana workspace
How do I connect Asana and manage or export tasks and action items with Green Weka?
What it does
Green Weka connects with your Asana workspace so you can manage tasks hands-free. You can create new tasks, list what's due, tick off finished jobs, search for tasks, reschedule deadlines, add notes, and assign tasks to yourself or your team, all by voice or chat. Action items from calls, emails, chats, dictations and in-person conversations can be exported into Asana as tasks, keeping your to-do list up to date. If you use more than one Asana workspace, you can manage tasks across them. When Asana is connected, you'll see an Asana badge on your dashboard.
How to set it up and use it
Connect Asana:
Go to your Green Weka dashboard. Find the Active Connections card and tap + Add. Choose Asana and follow the prompts to sign in. Approve access when asked. You can disconnect any time. A 'Green Weka Action Items' project is created for you by default.
Managing tasks:
- Create a task: Ask your assistant to add a new task to Asana. You can give it a name, add notes, set a due date or time, and assign it to someone. If you don't say a project, it goes into your 'Green Weka Action Items' project.
- List tasks: Ask what's on your Asana, what's due today, or what's overdue. The assistant will read out your open tasks, filtered how you want.
- Complete tasks: Say which task you've finished and the assistant will tick it off. If there are several with similar names, you'll be asked to pick.
- Search tasks: Ask if a job or task is in your Asana, or search by keywords.
- Reschedule tasks: Tell the assistant to move a task's due date, clear it, or set a new one.
- Add notes: Add a comment or extra info to any task by name.
- Assign tasks: Assign a task to yourself or a teammate by name. You can also unassign tasks.
Exporting to Asana:
- From the Dictation tab: When you record a site note, you can export it as a new Asana task. The title becomes the task name, and your recording's transcript becomes the notes. The task is assigned to you by default, and you can pick the project or use the default.
- From the Dashboard action items: Select one or more action items, click Export, then choose Asana. Pick the project and who to assign each task to (default is you). You can set or change a "Complete by" date for each item before exporting. The due date and time are carried over if available.
After export, each item shows an "Asana ✓" chip. On your phone, tapping this opens the Asana app. You can also use "Open in Asana" from the export screen. Marking a task done in Green Weka also completes it in Asana, and ticking it off in Asana closes it in Green Weka. This works both ways.
Tips
- Use clear task names so it's easy to find or complete them later.
- If the assistant asks you to pick from a list, it's because more than one task matches what you said.
- The Asana badge on your dashboard shows your connection is active.
- You can manage tasks in multiple Asana workspaces if you use more than one.
- Exported tasks keep their due dates and times if you set them.
Limitations
- Only open (incomplete) tasks are listed or managed by default.
- If several tasks have the same name, you'll need to pick the right one.
- You can only assign tasks to people who are in your Asana workspace.
- Notes and comments can only be added to open tasks.
- Some actions may take a minute to show up in Asana.
