Call recaps and transcripts
How do I listen to, read, edit, export, or send my call recaps and transcripts to OneNote?
What call recaps and transcripts do
Green Weka captures every incoming call once call capture is activated, and every outgoing call made using the Green Weka dialer. Each captured call is transcribed and summarised for you. You’ll see a one-line recap, the full transcript, and any action items or notes from the call. This means you don’t have to rely on memory or scribbled notes, everything is saved and searchable.
For calls longer than three minutes, you’ll also get a structured call recap. This highlights key points, action items, and next steps, making it easy to review what was agreed or promised.
How to use call recaps and transcripts
After you finish a captured call, the recap and transcript will show up on your dashboard within a few minutes. For each call, you can:
- Listen: Play back the recording if you’ve kept recordings on in your profile settings.
- Read: Open the full transcript to see every word from the call.
- Translate: Instantly translate the transcript into another language if you need it.
- Edit: Fix any details in the summary or transcript, handy if a name or address was misheard. On the call's edit screen, the Caller dropdown offers "Fix this name..." to correct the name on this contact, or "A different person on this number..." if someone else used the same number.
- Delete: Remove the call from your history. There’s a short window to undo if you delete by mistake.
- Export: Tick the call and use the Export bar to download the transcript as a PDF. You can print or save it, or upload it to your CRM.
- Send to OneNote: If you have OneNote connected, you can send the transcript or the recap directly to OneNote from the transcript or recap view. You can also bulk-send calls to OneNote from the calls list by ticking multiple calls and choosing Send to OneNote. Each call becomes a page in your chosen notebook and section.
To check a recap or transcript, just tap or click on the call in your dashboard. All options, listen, edit, translate, delete, export, and Send to OneNote, are right there. For privacy, you can turn off call recordings in your profile; you’ll still get transcripts and recaps, just no audio.
If a call is linked to a Fergus or Simpro job, its recap also feeds that job's recap. For more about job recaps, see the job recap topic.
Tips
- Turn on email summaries in your profile if you want a recap sent to your inbox after every call.
- Use the search bar on your dashboard to quickly find past calls by name, number, or keyword.
- Edit summaries to fix any errors, especially useful for tricky names or technical terms.
- If you want to keep things tidy, delete old or unneeded calls and export important ones to PDF or OneNote for your records.
- When sending to OneNote, you can choose the notebook and section. Green Weka offers a "Green Weka" notebook and section, or you can type a new section name.
Shared numbers and contacts
If a number is used by more than one person (like a company main line), use "A different person on this number..." in the call's edit screen to keep your contacts accurate. This helps Green Weka sort workmates and customers correctly.
Good to know
- Incoming calls are always captured once call capture is activated, but outgoing calls are only captured if you use the Green Weka dialer.
- Deleted calls can only be undone for a short time; after that, they’re gone.
- Transcripts may have errors if the call quality is poor.
- Recaps are more detailed for calls longer than three minutes.
- Audio playback is only available if you keep recordings on.
- Send to OneNote is only available when OneNote is connected.
