How do I set when the call recording privacy message plays, and what are my legal responsibilities?
Green Weka helps you meet your legal obligations by playing a privacy message, such as "this call may be recorded," to callers. When you first set up Green Weka, the privacy message is switched on for both incoming and outgoing calls. This means callers hear it automatically, with no setup needed.
You control when the message plays. Options include always playing it, playing it only for first-time callers, or turning it off. You can also set different rules for incoming and outgoing calls, and override the setting for individual contacts if you need to. These choices are there to help you match your business style and the laws in your area, but it’s always your responsibility to follow local call recording laws.
Go to the Compliance tab in the app or dashboard. Before you can change the privacy message settings, you’ll be asked to acknowledge a compliance statement confirming you understand your legal responsibilities. If you later choose to weaken the message, such as turning it off, you’ll be asked to acknowledge this again.
Pick the voice you want for the privacy message. You can change this at any time.
Choose when the disclosure plays:
You can set these options separately for incoming and outgoing calls. If you want a different setting for a specific person, go to the Contacts tab, find the contact, and use the Whisper setting to override the global rule just for them.
The Receptionist never plays a privacy notice of its own. Your normal privacy message setting still applies to calls before your phone rings. For in-person meetings using Conversations, Green Weka does not show any announcement to the other people in the room. You are responsible for letting people know they are being recorded if the law requires it.
If you mostly deal with regular clients, "First-time callers only" keeps things smooth while still covering you for new people. For personal contacts, you can turn off both capture and disclosure. Laws about recording calls are different in each place, so if you’re not sure, check with a local expert. You can change your settings any time in the Compliance tab.
Green Weka provides the tools, but it’s up to you to understand and follow the call recording laws that apply where you work. The system does not give legal advice.
