How do I record and transcribe an in-person meeting, site visit or face-to-face chat with Green Weka?
Conversations lets you record and transcribe any in-person meeting, site visit, property viewing or face-to-face chat. It’s different from dictation: dictation is just you talking to yourself, while Conversations is for two or more people talking together. Use it for client meetings, project discussions, team huddles or any situation where you want a record of what was said and agreed.
You can start a Conversation from the phone app side menu, the Conversations tab on the desktop dashboard, or the Apple Watch app. On the watch, it’s just the microphone: press Record, put your wrist down and have your meeting, then press Stop. The watch sends the recording when it has a connection, and you review and confirm the transcript on your phone or desktop, not the watch.
The Conversations page has two filters: In person and Video meetings. This topic covers in-person meetings. For video meetings, see the topic "Video meetings: your notetaker".
To record, open Conversations and press Record in person. Put your phone on the table, or use your watch. You can give the meeting a title, or let Green Weka name it for you. Each recording can be up to 30 minutes, with a daily limit of 120 minutes per user. The screen stays awake while recording, and you’ll be asked for microphone permission the first time you use it.
Green Weka works out who’s speaking by listening for names in the conversation, like someone introducing themselves or being spoken to directly. The account owner is matched by first name. On the review screen, you can rename any speaker if needed.
When the transcript is ready, you’ll see a review screen. First, you’re asked "Who was this with?", search your contacts, create a new one, or skip this step. Then, review the transcript: edit any text, reassign paragraphs to the right speaker, add new speakers, split or delete paragraphs as needed. You can also generate a recap or action items, these are on demand, not automatic. Action items from Conversations are marked with an I, and any dates found can be added to your calendar with one tap. When you’re happy, press Confirm to file it.
You can download the transcript as a PDF or send it to OneNote. The recap can also be sent to OneNote from the recap screen. From the recap card’s Export menu, you can send the recap as a note on a Fergus job, a Simpro job or a HubSpot contact (with an optional deal). A chip on the card shows where it went. Action items go through the normal action-item export.
After confirming, the conversation appears on the contact’s card and is searchable. You can ask the assistant, for example, "what did Shona say about the bricks?" If you exported the recap to a job, it feeds into the job recap too.
The audio recording is deleted once you confirm the transcript. Only the transcript is kept. There’s no announcement to others in the room, so it’s your responsibility to let people know they’re being recorded if the law requires it.
If the upload is interrupted (for example, your phone dies or the app closes), the recording will show as "Upload incomplete". You can choose to transcribe whatever was uploaded. To delete a conversation, tap Delete twice to confirm.
Conversations is included on HeadRooster/AlphaHen and the Fledgeling trial at no extra cost. It’s not available on the Flock plan.
