Finding your way around the dashboard
How do I use the dashboard to find calls, voicemails, Receptionist messages, contacts, chats, and action items?
What the dashboard does
The Green Weka dashboard is your main hub. It brings together your calls, voicemails, Receptionist messages, contacts, action items, chats, and more. Everything is organised into tabs and cards, so you can quickly find what you need, see what’s new, and get a clear view of your business activity.
Tabs on the dashboard
- Calls: This is your main view. Every call is listed by date and time, showing who it was with, a summary, tags, action items, and any calendar events. You can listen to recordings (if you keep them), read transcripts, edit details, delete, or export calls. Receptionist calls show as purple rows with a Transcript button. Use the search box at the top to find calls by name, number, company, tag, or keyword. Results show why each call matched, with the matching words highlighted. You can filter by date, open tasks, or by person or company using chips. Clicking a tag pill filters to calls with exactly that tag. Clear the search with the × or Escape, and use Show more to see more results.
- Receptionist (Unanswered calls): This page holds both voicemails and Receptionist messages. Voicemails arrive with a transcript and play button. Receptionist calls are marked in purple and have a Transcript button. You can filter to see just voicemails or just Receptionist calls. The red number shows how many you haven’t listened to yet. The "Also ring" card lets you pick workmates to ring at the same time as you for incoming calls.
- Dialer: Make outbound calls from your desktop. Calls made here are captured and show up in your call list. On a wide screen you see the keypad, your contacts and recent calls, and a contact card side by side. During an incoming call, you can put the caller through to a teammate.
- Compliance: Set your call recording disclosure message and choose when it plays. Adjust settings for privacy messages as needed.
- Contacts: All your contacts, pulled from your phone and built up over time, in three views: Contacts, Companies and My Team. You can merge duplicates from the Review banner, edit details, tap a number to call, and set capture or disclosure settings per person. When Green Weka isn't sure if someone is a workmate or a customer, it asks you to choose. Sorting them keeps your records tidy, and you can re-sort later if needed.
- Dictation: Record notes by voice. Export them to Fergus, Simpro, your task apps or OneNote, or as a PDF. Say "remind me to…" while dictating to create an action item on the fly.
- Conversations: Capture in-person meetings or site visits, and your video meetings. Review, edit, and confirm the transcript, then generate a recap or action items if you want them. Only the transcript is kept after you confirm. Video meetings joined by your notetaker appear here with a badge.
- Video/Chat: Chat or video call with other Green Weka users. Share messages, photos, and set up group chats. Internal calls and chats are captured and summarised like phone calls.
Cards on the main dashboard
- Voice Agent: Click Connect to start talking to your assistant. Ask for your morning briefing, catch up on missed calls, or get job details.
- Action Items: See every action item pulled from your calls, emails, voicemails, chats, dictations, and conversations. Each item shows where it came from, like M for mobile call, V for video call, C for team chat, D for dictation, A for agent, and I for in-person conversation. Items from emails have no letter. Tick them off or export them as a PDF or to your other tools.
- Chat Assistant: Type questions instead of speaking. Handy when you need to copy answers.
- Active Connections: Shows which tools (like Gmail, Outlook, Fergus, Simpro, Claude) you’ve connected. Add or remove connections here.
- Top Callers / Discussions: A donut chart shows who calls you most. Flip the card to see what they’re calling about.
Tips for using the dashboard
Use the search box in the Calls tab to find calls fast. Results show why each call matched and highlight the words you searched for. Flip cards like Top Callers to see extra details. Export call transcripts or action items as PDFs for your records. Check the Review banner in Contacts now and then to merge duplicates. Try the morning briefing from the Voice Agent card to get a daily summary. Receptionist calls are easy to spot in purple, and you can review their transcripts with one click. Email action items are found on the Action Items card, and you can ask the assistant about any email. The dashboard is designed to save you time and keep everything at your fingertips. If you get stuck, click around the tabs and cards, most features are just one click away.
Good to know
- If you turn off call recordings, you’ll only see transcripts, not audio.
- Receptionist calls are transcript only, with no audio recording.
- The dashboard search only finds calls, not every type of record.
- There is no separate email page; email action items are on the Action Items card.
Try asking your assistant: “Where do I find my recent calls?” · “How do I see who calls me the most?” · “Can I search for a call by name or keyword?”
