Dictation: notes that tidy and file themselves

How do I use dictation to record, tidy, and export notes or action items to Fergus, Simpro, Asana, or my task app?

What dictation does

Dictation is your hands-free way to capture notes, site walk-arounds, meeting summaries, or reminders wherever you are. It works on your phone, desktop, and Apple Watch, so you can record notes on site, in the car, or at your desk. Dictation turns your spoken words into tidy, organised notes, and can pull out action items as you talk. You can export your notes straight to Fergus, Simpro, Asana, Todoist, Microsoft To Do, Planner, or OneNote, or save them as a PDF.

How to use dictation

Open the Green Weka app on your phone, desktop, or Apple Watch and tap Dictation. You can pause and resume as you go, a "Paused" badge will show. If your screen locks or you switch apps, nothing is lost. Before you start, you can enter a title. If you include a Fergus or Simpro job number or address in the title, your note will file straight into that job when you export. If you leave the title blank, it will go to Fergus Enquiries or Simpro Leads instead. For other exports, the title becomes the task name.

While recording, just talk naturally. Dictation understands three spoken commands: "new paragraph" to start a new paragraph, and "scratch that" or "strike that" to remove the last sentence. Otherwise, you don't need to remember special commands. Green Weka's smart clean-up tidies your finished note: it removes ums and false starts, applies corrections you say out loud (like "no, make that Tuesday"), and turns spoken lists into proper lists. While this runs, you'll see a "Tidying up" status. If you want to see the original version, tap "Original". You can swap back to the raw transcript with "Keep this version". If you prefer, you can turn off smart clean-up on the Dictations page.

To create an action item as you talk, just say "remind me to…" followed by your task. For example, "remind me to send the inspection report". This adds the action item to your dashboard, marked with a D for dictation.

When you're done, you can export your dictation as a PDF, send it to Fergus or Simpro (as a job note, task, or enquiry/lead), or export to Asana, Todoist, Microsoft To Do, Planner, or OneNote. For Fergus and Simpro, if your title matches a job number or address, "Job note" is pre-selected with the job filled in. Otherwise, "Enquiry" or "Lead" is pre-selected. For tasks, you can search for a job and pick assignees. For other apps, the title becomes the task name and the transcript is added as notes, assigned to you. After export, you'll see a badge like "Fergus ✓" or "Simpro ✓" on the dictation.

Tips

Use dictation for anything you'd usually jot down: site walk-arounds, client meeting notes, property inspections, or health and safety checks. If you don't know the Fergus or Simpro job number, leave the title blank and sort it later in Enquiries or Leads. Talk naturally, no need to pause for punctuation or remember lots of commands. Use "remind me to…" for quick action items so nothing gets missed. Exporting as PDF is handy for sharing or printing your notes. Dictation is safe to use even if your phone locks or you switch apps, your recording is kept.

Dictation is designed to save you time and keep your records tidy. Just talk, and let Green Weka organise the rest.
