How do I use my assistant to read, summarise, and send emails with Gmail or Outlook?

What it does

Green Weka connects to your Gmail or Outlook inbox so you can keep on top of your emails without searching through them. Your assistant can read, summarise, and pull out action items from every email. Just ask by voice or chat to find out what someone emailed, get a summary, or see what needs doing. All action items found in your emails are added to your to-do list, so nothing gets missed.

You can send and reply to emails through the assistant for both Gmail and Outlook or Hotmail accounts. Just say or type what you want to send, and the assistant will read your message back to you before sending it. This works for both Gmail and Outlook, so you can handle your email hands-free or when you’re busy.

Emails are sorted in the background into Focused (important) and Filtered (junk, newsletters, and low-priority stuff). Action items pulled from your emails appear on your Action Items card, each with a link to the original email in your webmail. Mark them done, delete them, or export them as a PDF or into your task apps.

If an email mentions an event, you’ll see one-tap buttons to add it to your Google Calendar, iCal, or Outlook Calendar (if you’ve connected Outlook Calendar separately). The Outlook Calendar connection is set up on its own; see the Outlook Calendar or Google Calendar topics for details.

How to set it up and use it

1. Go to your Green Weka dashboard.

2. Find the Active Connections card.

3. Click + Add and choose Gmail or Outlook.

4. Follow the steps to sign in and connect your account.

Once connected, your emails are analysed in the background. To use your assistant with email, just ask by voice or chat. For example, "What did Stephen email about the roof quote?" or "Show me my action items from emails." The assistant will find and read out what you need. You can also search by sender or subject, ask for summaries, and get reminders about things you need to do.

To send an email, say or type your message and who it’s for. The assistant will read your message back to you before sending it, so you can check it’s right.

Tips

• Connect both Gmail and Outlook if you use more than one email account.
• Check your action items list often, as emails are a common place for jobs and reminders to hide.
• Use voice commands when you’re on the go, or chat when you need a written answer.
• Mark action items as done as you go to keep your list tidy.

Green Weka keeps your email details private and secure. You can disconnect your email account any time from the same place you connected it.
