How do I install the Green Weka app, sync my contacts, and use it on my phone or Apple Watch?
The Green Weka mobile app brings your calls, contacts, voicemails, team chats and more together on your phone. It works on both iPhone and Android. The app mirrors your dashboard, so you can manage your business from anywhere. You can capture and review calls, check voicemails, chat with your team, use the voice assistant, and record in-person meetings with Conversations, all from your mobile.
Download Green Weka from the App Store (for iPhone) or Play Store (for Android). Open the app and sign in with your usual email and password. When prompted, allow the app to sync your phone contacts. Green Weka only reads your contacts: it never changes or adds anything to your phone’s contact list.
At the bottom of the screen, you'll see tabs for Recents, Favourites, Keypad, Contacts and Dashboard. The Dashboard tab shows a red badge with the number of unheard voicemails and Receptionist messages. Tap the menu icon at the top left for quick access to System Contacts, Chat, Voicemail, Dictation, Compliance, Conversations, App Settings and Logout. At the top, there’s a small indicator showing if you’re online. It lights up when a call is active.
When you sync, your phone contacts appear in Green Weka. Over time, new contacts from calls and emails are added automatically. You can view and manage contacts from the Contacts tab or the side menu. Fix names, merge duplicates or add aliases to help with name recognition. The Review banner in Contacts shows likely duplicates for you to merge. You can also mark contacts as workmates or customers to keep your records tidy. If Green Weka isn’t sure, it asks you to choose.
The Dashboard tab shows a red circle with the count of voicemails and Receptionist messages you haven’t read yet. Tap to listen, read transcripts or see messages taken by your Receptionist.
The side menu includes Conversations. Use this to record in-person meetings or site visits. Dictation is also there for quick notes or site walk-arounds. Both features are available on HeadRooster/AlphaHen plans and the Fledgeling trial.
Green Weka has an Apple Watch app for dictation and Conversations. You can record meetings or notes straight from your watch. Once you finish, review and manage them on your phone or desktop. For more details, see the Apple Watch help topic.
When you export action items or notes to apps like Asana, Todoist, HubSpot or Microsoft Planner, links in Green Weka will open the vendor’s own app if it’s installed on your phone.
To activate or deactivate call capture, open the account drawer by tapping your initials in the app. Under "Green Weka on your phone" you’ll see Copy activation code and Copy deactivation code buttons (on phones only). Tap to copy, then open your phone’s normal dialer, paste the code, and press call. The activation button appears once your caller ID is verified. The deactivation button is always there. The code itself is never shown, just copied for you.
Use the Green Weka dialer for work calls you want captured. Calls made through your phone’s normal dialer aren’t captured. Set personal contacts to Capture OFF so private calls aren’t recorded. Check the voicemail badge often so you don’t miss any messages. Check the Review banner in Contacts now and then to keep things tidy. If you ever need to stop using Green Weka, log out of the app and use your deactivation code from your onboarding email in your phone’s normal dialer.
If calls stop reaching the app, open the Green Weka app first: this usually fixes it. If not, restart your phone. If it still isn’t ringing, delete the app, restart your phone and reinstall it, then log in again. On iPhone, make sure Green Weka is allowed to ring in any Focus mode you use (like Do Not Disturb). If your trial has ended, calls go to voicemail until you pick a plan. If you logged out, log back in or dial your deactivation code in your phone’s normal dialer so calls ring your phone normally.
