Microsoft Planner: team task boards
How do I use Microsoft Planner in Green Weka for team tasks, assigning, and tracking?
What it does
Green Weka connects with Microsoft Planner so you can turn calls, emails, and dictations into team tasks. Action items flow straight to your Planner board, assigned to the right person, with the due date set. You pick the plan and bucket: Green Weka creates a 'Green Weka' bucket for you if needed. Tasks show up in Microsoft Teams and in each person's 'Assigned to me' list, so everyone knows what’s theirs.
You can create, assign, complete, search, reschedule, and add notes to Planner tasks using your voice or the chat assistant. Just say "Planner" to the assistant and ask what you need, like "add send the quote to Planner for Emma" or "what's overdue in Planner?". The morning briefing will also read out any Planner tasks assigned to you that are due today or overdue.
How to set it up
1. On your Green Weka dashboard, find Active Connections and open the Connect New list.
2. Choose Microsoft Planner and click Connect.
3. Sign in with your work or school Microsoft 365 account. Personal Microsoft accounts are not supported, and you'll see a message if you try to use one.
4. If your organisation requires it, your IT admin may need to approve the connection first; you’ll see a note about this when you connect.
5. Once connected, you can export action items from calls, emails, or dictations to any Planner plan you belong to. Pick the plan and bucket, assign the task (default is you), and set a due date if you want. Tasks are date-only; times are not carried over.
6. On your phone, exported tasks show a 'Planner ✓' chip. Tapping it opens the Planner app.
Using Planner in Green Weka
- To export action items or dictations, tick the items, click Export, and choose Microsoft Planner. Pick the plan and bucket, assign to one or more plan members, and set a due date if needed.
- The default bucket is 'Green Weka', but you can pick any bucket in your plan.
- Assign tasks to yourself or any member of the plan. Tasks appear in Teams and in each person's 'Assigned to me'.
- Marking a task done in Green Weka also completes it in Planner, and vice versa. If you tick a task off in Planner, it closes in Green Weka next time your dashboard loads or your briefing runs.
- Use your voice or the chat assistant to add, list, complete, search, reschedule, add notes, or assign Planner tasks. For example, say "add book the site visit to Planner for Friday and assign it to Emma" or "move the Harrison quote to Monday".
- The morning briefing includes Planner tasks assigned to you that are due today or overdue.
Tips
- If you use dictation, you can export the recording as a Planner task. The title becomes the task name, and the transcript goes into the notes.
- The 'Planner ✓' chip on exported items opens the task in the Planner app on your phone.
- Remember, Planner tasks are date-only. If you set a time, only the date will be carried over.
- If you have several plans, Green Weka remembers your last choice for next time.
Good to know
- Only work or school Microsoft 365 accounts are supported, not personal accounts.
- Your admin may need to approve the connection before you can use Planner.
- Tasks are date-only; times are not included in Planner tasks.
- If you try to connect with a personal Microsoft account, you'll see a message and the connection won't work.
Try asking your assistant: “How do I connect Microsoft Planner?” · “Can I assign tasks to my team in Planner?” · “How do I export action items to Planner?”
