Simpro: jobs, leads, notes, tasks and job recaps
How do I connect Simpro and use it for jobs, leads, notes, tasks and job recaps in Green Weka?
What it does
Green Weka is an approved Simpro Technology Partner, listed on the Simpro Marketplace. It connects your calls, emails, dictations, in-person conversations and video meetings to Simpro. This means new work, updates and tasks flow into Simpro without any extra typing, ideal for electrical, plumbing, HVAC, fire, security and other field-service teams.
Connecting Simpro
To connect Simpro, open Active Connections on your Green Weka dashboard and choose Simpro from the Connect New list. Enter your Simpro web address (the one you use to log in, for example, yourcompany.simprosuite.com). Log in to Simpro and approve access. If your Simpro build has more than one company, you’ll be asked to pick the right one. Your password stays with Simpro, Green Weka never sees it.
Simpro words explained
- A job’s number is its ID (for example, job 42).
- An enquiry is called a lead in Simpro.
- A booking is called a schedule.
What happens automatically
- When a call or email comes in from a new customer about new work, Green Weka creates the customer, their site, and a lead in Simpro.
- If it’s about an existing job, a short note is added to that job in Simpro, with links to the full transcript and a job recap in Green Weka.
- Action items from calls, emails, chats, dictations, or meetings can be exported as Simpro job tasks. When you mark a task done in either place, it’s ticked off in both.
- Dictations (like site notes) can be filed as a job note, a task, or a lead in Simpro. In-person conversations and video meeting recaps can also be sent as a note on a Simpro job.
Using the assistant with Simpro
You can ask your voice or chat assistant about:
- Your open jobs
- A specific job (by number, customer, address, or description)
- Notes on a job
- What’s scheduled today or on a certain day (for yourself or a team member)
- Customer details
- Open leads (enquiries)
- Current quotes
- A recap of a job
You can also ask the assistant to create a customer, site, lead, note, or job task (add, complete, or list tasks). If you use Fergus as well, say “Simpro” in your question so the assistant knows which system to use. For example, “What jobs do I have in Simpro?”
Exports and job recaps
You can export action items as Simpro job tasks, with two-way completion sync. Dictations can be sent as a job note, task, or lead. In-person conversations or meeting recaps can be sent as a note on a job. A job recap in Green Weka gives you a summary of everything communicated about one job, calls, emails, dictations, conversations, and meetings. You can ask for a job recap by voice, chat, or Claude, or follow the recap link from any job note Green Weka wrote in Simpro.
Morning briefing
Ask for your morning briefing and your Simpro jobs for the day are included, alongside your calls, emails, tasks and calendar events.
Tips
- Use clear job numbers or addresses when talking to the assistant.
- When both Fergus and Simpro are connected, name the system you want.
- Export action items and dictations to Simpro for easy tracking and follow-up.
- Try dictating site notes or meeting recaps and sending them straight to the right job.
Limitations
- Quotes and bookings can’t be created by voice or chat yet.
- If both Fergus and Simpro are connected, a plain jobs question goes to Fergus first, say “Simpro” to be sure.
This setup helps keep your Simpro jobs, leads, and tasks up to date, no matter your industry.
Good to know
- Quotes and bookings can’t be created by voice or chat yet.
- If Fergus and Simpro are both connected, a plain jobs question goes to Fergus first unless you say 'Simpro'.
