Your voice assistant
How do I use the voice assistant for updates, info, action items, or to make a call?
What the voice assistant does
Your voice assistant is your hands-free helper for everything Green Weka captures. It always checks live data, so you get the latest answers every time. You can use it while driving, on site, or whenever you need quick info without scrolling or typing.
Ask for your morning briefing, weather, job details, overdue invoices, or to add action items. The assistant can pull up calls, emails, chats, in-person Conversations, video meetings, and job info. You can search for old calls or emails by name or date, check what you missed, or ask about action items. Marking an action item done by voice also completes it in connected apps like Fergus, Simpro, Asana, Todoist, Microsoft To Do, or Planner.
You can ask the assistant to place a call for you. Just say something like "call John Smith" or "call the hardware store". The assistant finds the number, reads it back, and asks you to confirm before connecting. Calls placed this way use the Green Weka dialer, so they're captured and charged at your plan's normal rates. The assistant won't dial emergency numbers or destinations Green Weka doesn't support. For more on this, see the help topic on calling by voice.
You can also:
- Ask about your calendar: "What's on my calendar tomorrow?" or "What appointments do I have next week?" If you say "calendar", "diary", "appointments", "meetings" or "am I free", the assistant checks your Outlook Calendar. If you ask about "jobs" or your "job schedule", it checks Fergus or Simpro. A plain "what's on tomorrow" reads both and gives you one answer. If you have both Outlook and Google Calendar connected, the assistant will ask which one you mean the first time you create, move or cancel an event without naming one.
- Add, list, complete, or search tasks in Xero, Fergus, Simpro, Asana, Todoist, Microsoft To Do, Planner, or OneNote. For example, "add this to Planner", "what tasks are due today in To Do", or "save that call to OneNote".
- Read, send, or reply to emails from Gmail or Outlook.
- Get a catch-up: "What did I miss since lunch?" or "Catch me up on calls and emails from today".
- Ask for the weather: "Will it rain tomorrow?" or "Should I work outside today?"
- Ask for a recap of a job in Fergus or Simpro: "recap job 3" or "catch me up on the Smith job".
- Get reports: "how many calls did I miss this week?" or "who calls me most?" Reports cover calls, emails, chats, Conversations, video meetings and action items.
How to set it up and use it
On your dashboard, find the Voice Agent card. Click Connect. The first time, your browser or app will ask for microphone permission, allow it. Wait for the message 'agent is active'. The agent will greet you by name when it’s ready. Just talk. There’s a short pause before it starts, but then it’s quick to respond.
Personalise your assistant
Click the gear icon on the Voice Agent card to set up how your assistant sounds and acts. You can pick a voice, choose a personality tone (Professional, Friendly, or Energetic), set how expressive the voice is, and pick a conversation style (Formal or Casual). Try different settings until you find what suits you best. You can change these any time.
Tips
- Use the voice assistant for quick updates before your first job each day.
- If you’re in a noisy place, switch to the chat assistant instead.
- For action items, you can say “remind me to…” and it’ll add it to your list.
- To make a call, just ask the assistant to call someone from your contacts or a business.
- If you ever have trouble, check your mic permission or refresh the page or app.
The voice assistant is designed to save you time and keep you organised, so you can focus on the job.
