Voicemail, unanswered calls and Also ring

How do I set up voicemail, change the greeting, check missed messages, or have teammates ring with me?

What voicemail does

Green Weka voicemail catches calls you can't answer. By default, when you miss a call, the caller is sent to voicemail. Each message is transcribed, so you can read it or listen to the audio. This saves you time, no more replaying messages or missing details. Unheard voicemails show as a red badge in the app and on your dashboard, so you always know when there’s something new.

Where to find missed messages

Open the Receptionist tab on your dashboard or in the app. This opens the Unanswered calls page, where you’ll see all messages from callers you missed. Both voicemails and Receptionist messages appear here. You can filter the inbox to show All, just Receptionist messages, or just Voicemails. Mark messages as Done to keep your inbox tidy.

Setting up and changing voicemail

Voicemail is ready to use with a default greeting and voice. To personalise it, open the Receptionist tab, scroll to the voicemail settings, and pick a greeting voice from the list, there are Kiwi, Aussie and a few fun options. You can also record your own greeting or upload a recording. Preview your greeting and save it when you’re happy. There’s a Test button so you can hear what callers will hear.

When someone leaves a voicemail, it appears in your inbox within a few minutes. Each message comes with a transcript and a play button. You can quickly scan the text or listen to the audio, whichever suits you best. If you have new, unheard voicemails, you’ll see a red circle with the number of new messages on the app icon or Receptionist tab.

If you have set Capture OFF for a contact, their calls and emails are not captured, but they can still leave a voicemail. These voicemails appear in your inbox with a summary, but are not analysed further or emailed.

Also ring: have teammates ring with you

The Also ring card lets you pick up to six workmates (from your My Team list, who have Green Weka accounts) to ring at the same time as you on every incoming call. The first person to answer takes the call, but the call stays on your account and is labelled with who answered. If you’re already on a call, only teammates who are free will ring. If nobody answers, the caller goes to your voicemail or Receptionist as usual. For most businesses, it’s best to keep this to one or two people so the whole office doesn’t ring at once.

To set this up, open the Receptionist tab, find the Also ring card, and select your teammates. They need their own Green Weka account to appear in the list.

The Receptionist

If you want missed calls handled more personally, you can switch from Voicemail to the Receptionist in the Receptionist tab. The Receptionist answers in your business’s name, asks questions, and takes detailed messages. It only answers when you don’t pick up or are already on a call. For more about setting up and using the Receptionist, see the Receptionist help topic.

Voicemail is built to work quietly in the background, so you never miss a message and can get back to people fast.
